HVAC Dispatcher to join our team in

The Big Task - You will evaluate customer calls and match the right technician to every job
- Take incoming customer calls
- Schedule and coordinate all service calls, as calls are received
- Creating dispatch tickets for all service calls
- Dispatch Service Technicians, one call at a time
- Respond to all messages left overnight
- Maintain the dispatch board/schedule
- Forecast workload for 2 – 3 days out
- Contact customers with a “Parts Pending” status as parts are received for scheduling
- Follow up on all pending and recommended work with customers
- Maintain maintenance agreements, scheduling, database information, customer hard files, and renewals
- Order parts for special orders
- Update customer files as information is received from installation. (Extended warranties, equipment info, new customers)
- Maintain on-call schedule, to include 1st on call and standby technician
- Maintain customer history files in the database
- Prepare paperwork for manufacture warranty parts
- Facilitate the return of warranty parts
- Update service database from service ticket
- Compare work orders to the service schedule
- Happy calls/customer surveys
- Forward credit card information
- Other duties as assigned
What We Are Looking For - 2 years related experience and/or training in customer service, dispatching or project management or equivalent combination of education and experience
- Minimum 1 year experience dispatching in service industry
- Advanced customer service skills
- Knowledge of industry is recommended but not required
- High school diploma or general education degree (GED)
- Previous experience with Microsoft Office
- Highly organized with exceptional follow-through abilities
- Strong verbal and written communication
- Outgoing personality that blends well with a fast-paced, goal-driven environment
- Highly motivated, flexible, and great attitude on life
