About the Role
The Volunteer Coordinator is the Subject Matter Expert on the numerous and fluid volunteer opportunities within the Meals on Wheels (MOW) pillar of IM, including meal delivery, aniMeals on Wheels (aMOW), Warehouse Support, Administrative Support, and event volunteerism. Staying current on the needs of these programs and the various ways that individuals and groups can serve with us, this person will also be primarily responsible for identifying and developing relationships with individuals, families, schools, businesses, faith communities, and civic, philanthropic, and neighborhood groups to recruit and engage volunteers in ongoing and meaningful service.
Responsibilities
- Work as a part of the Volunteer Services (VS) Team to make sure each of our guests is greeted, assisted, signed in, and has great experience serving with us. Ensure positive volunteer experience by regularly engaging with volunteers, VS and MOW Leadership, and identifying areas of satisfaction and needs for improvement.
- Be a vital part of the “VS think tank” to come up with new ideas, recruitment possibilities, and ways to bring more people into our Volunteer Family for our primary mission, which is to deliver meals to our seniors.
- Serve as one of two primary VS staff members to maintain and keep current the Volunteer Groups Calendar, including notating – with the support of the Manager of VS - which available VS Team Member will handle visiting groups, offsite events, training, etc.
- Closely monitor the [email protected] e-email inbox, as well as assigned personal inbox, and main volunteer call line, to respond to all prospective volunteer individuals and groups quickly and professionally.
- In coordination with the Manager of VS and peers within the VS department, identify areas in MOW, aMOW, and Warehouse Support where volunteers are needed.
- As part of the VS Team, coordinate with IM’s Marketing and Communications Department to create shareable content and promote volunteer needs for MOW and aMOW programs on social media and other platforms.
- Ensure proper and thorough onboarding and training for all volunteers, including that all required background checks are completed and passed prior to a volunteer beginning service.
- Coordinate volunteer needs, schedules, and placements for MOW volunteers at Volunteer Hub Sites assigned.
- Use Better Impact database to maintain current records of required volunteer documentation, manage schedules and communications, and track when and by whom services are completed.
- Utilize ServTracker database to monitor and verify volunteer’s deliveries have been completed, documented, and submitted to Data & Billing, in a timely manner.
- Monitor route specifics (number of deliveries, geographic boundaries, etc.) and make adjustments, as needed, to maintain a positive volunteer delivery experience.
- Deliver to Hub Sites and to client homes, if coverage for these deliveries cannot be found or a last-minute cancellation occurs, so that our clients receive their meals as scheduled and with minimal delay.
- Visit, motivate, thank, and recognize MOW and aMOW volunteers.
- Assist the MOW and aMOW management team with the coordination of special projects, donation drives, and special events, including, but not limited to, Operation Impact, MOW Thanksgiving, and The Holiday Gift Bag Project.
- Assist the MOW and aMOW management team with the coordination of current and future programs to support the needs of our MOW seniors.
- Create, develop, maintain, and deepen relationships with individuals, schools, faith communities, and civic, ethnic, and neighborhood groups to support MOW and aMOW volunteerism.
- As part of the VS Team, attend appropriate meetings pertaining to MOW and aMOW volunteer needs, challenges, and oversight.
- Perform other duties as assigned by supervisor.
Qualifications, Skills, and Experience
- Bachelors Degree required or experience may be substituted.
- Two years of experience with volunteer recruitment, customer service, training, management, engagement, and event coordination or related experience.
- Willingness to attend and complete the Food Manager’s Certification Program.
- Experience with social media content creation and sharing as a tool for recruiting volunteers to join our IM Volunteer Family.
- Fluency in written and spoken English is required. Fluency in Spanish desirable.
- Excellent written and verbal communication skills.
- Self-starter with the ability to work independently and in a team environment with minimal supervision, assisting and calling on team members as necessary.
- Excellent organizational skills. Ability to plan and organize multiple tasks, handle detailed work, and meet deadlines.
- Excellent interpersonal skills. Must be able to interact with all levels of the organization and work effectively in a team environment.
- Proficiency in Microsoft Office, especially Word, Excel, and PowerPoint. Ability to quickly learn databases for both volunteer and client data management (Better Impact, ServTracker) and volunteer recruitment.
- Must enjoy working with culturally and ethnically diverse staff, clients, and volunteers.
- Must have reliable transportation, valid Driver’s License, and automobile liability insurance.
- Must be able to work a flexible schedule including late nights and some weekends.
- Able to engage in repeated lifting of up to 50 pounds, as needed, to support the tasks of volunteers in the MOW and aMOW Warehouses or offsite locations.
- Ability to drive to other locations using personal vehicle during business hours and for work-related tasks outside of normal business hours, as needed.
